The ArtCycle policy
1. Purpose
This policy outlines the principles, procedures, and safety standards for delivering craft workshops to children. The aim is to provide a fun, educational, and safe environment that fosters creativity, skill development, and social interaction.
2. Scope
This policy applies to all staff, volunteers, parents, and participants involved in children's craft workshops organised by ArtCycleMB C.I.C.
3. Eligibility and Registration
Workshops are open to children aged 7–12 years. All participants must be registered in advance through the official registration form, which includes emergency contact details and information on allergies, medical needs, and any additional support requirements.
4. Staffing and Supervision
All workshops must be led by qualified facilitators with experience in arts and crafts and working with children. A minimum adult-to-child ratio of 1:8 must be maintained at all times. All staff and volunteers must undergo background checks (e.g., DBS or equivalent) before working with children. Staff have First Aid Certificate and at least one will be present in workshops.
5. Health and Safety
A risk assessment will be conducted prior to each workshop. Safety guidelines must be followed for all tools and materials. Non-toxic, child-safe materials will be used, and dangerous tools (e.g., hot glue guns, scissors with sharp tips) will be restricted or supervised closely. A first aid kit must be available on-site, and at least one staff member present must be first aid trained.
6. Safeguarding
The safety and wellbeing of children are paramount. All staff must be familiar with the organization’s safeguarding policy and report any concerns immediately. Physical or verbal abuse, bullying, or inappropriate behavior by any participant or staff member will not be tolerated.
7. Inclusion and Accessibility
Craft workshops are spaces welcoming all children. Reasonable adjustments will be made to accommodate children with special educational needs or disabilities.
8. Parental Involvement and Consent
Parental or guardian consent is required for each child to participate. Parents are encouraged to disclose any relevant needs and are welcome to attend if additional support is required. For younger children (ages 4–6 years), a parent or guardian may be asked to stay.
9. Photography and Media
Photographs and videos may be taken during workshops for promotional use only with prior written consent from parents or guardians. Images will be stored and used in compliance with data protection laws.
10. Behavior Management
Positive behavior will be encouraged through praise, engagement, and clear communication. Any disruptive behavior will be addressed calmly and respectfully. Persistent issues may result in a child being asked to leave the workshop, following a discussion with parents.
11. Evaluation and Feedback
Workshops will be evaluated through feedback forms from parents and children to continually improve the program. Staff are encouraged to reflect on each session and suggest improvements.
12. Policy Review
This policy will be reviewed annually or in response to significant changes in operational procedures, legal requirements, or feedback from stakeholders.
